1. Scope
This Privacy Policy describes how Tree Down Media (“we”, “us”) handles personal information in connection with our website at treedownmedia.com and the hosted CRM platform we operate for our clients (“the Service”).
2. Information We Collect
- Account information — name, email address, and login credentials for people who use the Service. Passwords are handled by our authentication provider and are never visible to us in plain text.
- Workspace content — the contacts, leads, deals, notes, messages, bookings, and files that Service users store in their workspace.
- Usage and technical data — log data such as IP address, browser type, pages viewed, and actions taken, used for security and to operate and improve the Service.
- Cookies — we use cookies to keep you signed in and remember preferences. Marketing pixels or analytics tags run only where configured, and public pages that capture leads may record campaign parameters (such as UTM tags and referrer) with a submission.
3. Data Our Clients Collect Through the Service
Much of the personal information in the Service — contact and lead details submitted through forms, chat widgets, bookings, and messages — is collected by the business operating the workspace, not by us for our own purposes. That business decides what is collected and why; we process it on their behalf to provide the Service. If your details were entered into a workspace and you have questions about them, the most direct route is the business you dealt with — but you can also contact us and we will help route your request.
4. How We Use Information
We use personal information to provide, secure, and support the Service; to send service-related communications (such as invites, receipts, and notifications); to comply with legal obligations; and to improve the Service. We do not sell personal information.
5. Email, SMS & Messaging
The Service sends email and SMS on behalf of workspace operators through specialist delivery providers. Bulk email includes an unsubscribe link, and SMS opt-out replies (such as STOP) are processed where configured. Message content and delivery metadata are stored in the workspace they belong to. Text messaging opt-in data and consent are not sold or shared with third parties or affiliates for their marketing or promotional purposes.
6. Payments
Payments are processed by Stripe. Card details go directly to Stripe and are not stored on our systems; we retain records of transactions (amount, plan, status) for billing and accounting.
7. Service Providers
We use a small set of trusted infrastructure providers to run the Service — for application hosting, authentication and database, payment processing, email and SMS delivery, scheduled processing, AI-assisted features, and website publishing. These providers receive only the information necessary to perform their function, are bound by their own privacy and security terms, and are not permitted to use it for their own marketing. We do not sell, rent, or lease our customer lists to third parties. A current list of providers is available on request.
8. Data Retention
Workspace content is retained while the workspace is active and deleted on verified request or after account closure, subject to reasonable backup-cycle and legal-retention constraints. We retain billing records for as long as required by law.
9. Security
We use industry-standard measures to protect personal information, including encrypted connections, tenancy-scoped access rules, and least-privilege credentials. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Your Rights
Depending on your jurisdiction, you may have rights to access, correct, delete, or receive a copy of your personal information, and to object to or restrict certain processing — including, for California residents, the rights provided by the California Consumer Privacy Act (CCPA). To exercise these rights, contact us at hello@treedownmedia.com — for data held in a client’s workspace we may refer your request to that client, as they control it.
11. Children
The Service is a business tool and is not directed to children. We do not knowingly collect personal information from children under the age of 13.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated policy on this page with a new “Last updated” date and, for material changes, take reasonable steps to notify account holders.
